HOW HOWDENSHIRE MUSIC PROJECT USES YOUR INFORMATION
This privacy notice tells you what to expect when Howdenshire Music Project collects personal information. It applies to information we collect about:

people who subscribe to our mailing list or request a publication or service from us

volunteers and members of the Project and its Management Committee.
We will only obtain information about an individual from that individual and with their consent. No sensitive information is collected.
Visitors to our website
Visitors to our website are not currently monitored in any way other than to monitor search queries and results, which are logged anonymously to help us improve our website. No user-specific data is collected.
Volunteers, committee members and members of the Project
We hold personal information provided during correspondence and by volunteers engaged with activities in relation to music events. This helps us keep in touch and communicate efficiently and economically and, together with our mailing list, may be used for fundraising appeals. This information is not shared with any third party without prior consent. However, basic details may be provided to HMRC in order for us to be able to claim back Gift Aid.
Mailing list subscribers
Emails are delivered where consent is given as it can speed up communications. We gather information around email opening and clicks using industry standard technologies to help us monitor and improve our emails. We offer everybody the opportunity to sign up (consent) to receive marketing and promotional information about Howdenshire Music Project's activities (e.g. emails about forthcoming events). When you sign-up to our marketing mailing list we will ask for your name and email address and will use this data to send you information about our events and activities. We will only send you information that is related to the group (e.g. we will not use your data to send you marketing messages from 3rd parties). Anything we send you will include a clear option to withdraw your consent (e.g. to ‘opt out’ of future emails) and you can also do so at any time by contacting our Secretary, who acts as the Data Controller.
Access to personal information
Howdenshire Music Project tries to be as open as it can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a “subject access request” under section 45 of the Data Protection Act 2018. If we do hold information about you we will:

give you a description of it;

tell you who it could be disclosed to; and

let you have a copy of the information in an intelligible form.
To make a request to the Project for any personal information we may hold, you need to put the request in writing addressing it to the Secretary, Howdenshire Music Project at the address shown below. The Secretary acts as the Data Controller. There is no charge in relation to this request.
If you agree we will try to deal with your request informally, for example, over the telephone.
Retention of information
The Howdenshire Music Project data retention policy is to review all data held on individuals at least every two years and remove data where we no longer have a legitimate reason to keep it. Where you have withdrawn your consent for us to use your data for a particular purpose (e.g. unsubscribed from a mailing list) we may retain some of your data for up to two years in order to preserve a record of your consent having been withdrawn.
Processing of information
We will not process the information provided in any way other than to facilitate communication. No automatic decision making processing of information is undertaken and the information is not passed to any other organisation for processing other than the HMRC, as described above.
Your rights
You may restrict or object to the Project processing your information.
You may rectify any errors in information held by the Project by contacting the Secretary.
You may withdraw your consent at any point in time. Changes will be made within 7 days.
If aggrieved, you may complain to the Information Commissioner’s Office.
Improvement
We would welcome any comments you may have to improve this Privacy Notice. Please send them to the Secretary at the address given below. We will regularly review this Privacy Notice and may make changes from time to time. If the changes are substantial, we will actively bring them to the attention of anyone affected.
